We are the data controller for the personal data described in this policy under the Turkish Personal Data Protection Law No. 6698 (KVKK) and, where it applies to you, the EU General Data Protection Regulation (GDPR).

• Contact details: your name, phone or WhatsApp number, e-mail address and the country you are travelling from.
• Your request: the treatment you are interested in and the messages you send us.
• Health information you choose to share: photos of your teeth, X-rays, and details about your dental and medical history.
• Treatment records: if you become our patient, the clinical records your dentists keep about your examinations and treatment.
• Travel details: if your package includes them, the dates and details we need to book your hotel and transfers.
• Technical data: like most websites, our servers record technical data such as your IP address and the pages requested, for security and troubleshooting.

• To answer your request and prepare your treatment plan and written quote, at your request.
• To review the photos and health information you send, with your explicit consent, which you give in the form before you send anything.
• To plan your visit, provide your treatment and look after you afterwards, as part of our agreement with you.
• To keep the clinical records that health institutions in Türkiye are required to keep.
• To send you news and offers, only if you ticked the separate, optional box for this. You can withdraw that consent at any time.
• To keep our website secure and working.

Information about your health is special category data. We process it only with your explicit consent, or where the law allows it for medical diagnosis and treatment by health professionals who are bound by professional confidentiality. Only the dentists and staff involved in your care can see it.

• Our dentists and patient coordinators, who need it to plan and provide your treatment.
• Our partner dental laboratory, which receives the scans and designs needed to make your crowns, veneers or other restorations.
• Hotels and transfer providers, if your package includes them: only your name and travel details.
• WhatsApp: when you send a request through our form, it is saved in our own system and also opens in WhatsApp, and your messages are then handled by WhatsApp (Meta) under its own terms.
• Our IT and hosting providers, who keep our systems running. Our website and the requests you send through it are hosted on servers in Türkiye.
• Public authorities, when the law requires us to.

Our website is hosted in Türkiye. Some of the services above, such as WhatsApp, may process data outside Türkiye. We transfer personal data abroad only in the ways the KVKK and, where it applies, the GDPR allow.

• Requests that do not lead to treatment: up to 2 years, then we delete or anonymise them.
• Patient records: for the period required by Turkish health legislation.
• Marketing: until you withdraw your consent.

Under Article 11 of the KVKK, and the GDPR where it applies, you can ask us:

• whether we process your personal data, and for what purpose;
• for a copy of your data and the names of the people we have shared it with;
• to correct data that is wrong or incomplete;
• to delete your data when there is no longer a reason to keep it, and to tell the people we shared it with;
• to object to a decision about you made only by automated means;
• for compensation if you are harmed by unlawful processing;
• to stop processing based on your consent, by withdrawing it at any time.

To exercise your rights, write to info@vitasmile.istanbul or send a letter to the address above. We reply within 30 days. You can also complain to the Turkish Personal Data Protection Authority (Kişisel Verileri Koruma Kurumu), or to the data protection authority in your country if you live in the EU.

We limit access to your data to the people who need it for your care, and we use secure systems to store it. No system is completely secure, so please send health information only through the channels we give you.

If you are under 18, please ask a parent or guardian to contact us. We treat children only with the consent of a parent or guardian.
